School district reputation protection in email signatures
The Challenge
With more than 1,100 employees across 17 separate locations, the Springfield City School District of Ohio (SCSDOH) had no way to centralize email signatures and present a unified identity as one Wildcat family. School staff created email signatures ranging from none at all to long quotes, outdated mascots, expired links, old logos and off-brand formatting. The communications team had set clear brand guidelines, but no scalable way to enforce them. Email, one of the school district’s most frequent touchpoints with families, partners, and the community, became a source of inconsistency, risk, and manual effort.
The Outcome
WiseStamp gave SCSDOH centralized control over every email signature sent across the district. Within a week, all staff were aligned under one professional, branded template. The communications team could update signatures instantly, eliminate policy risks, and ensure every email reflected the district’s identity. SCSDOH moved from relying on individual employees to update their signatures, to enforcing standards automatically, professionalism, and brand unity at scale, all from one centrally-managed platform.
We went from hoping our employees were following the rules to knowing they couldn’t break them.

One District. 17 Locations. One Brand.
Springfield City School District of Ohio is a large, diverse urban district in west central Ohio, serving approximately 7,200 students across 17 buildings.
Known for its innovative programs, International Baccalaureate and AP offerings, and students advancing to Ivy League schools and Division I athletic scholarships, SCSDOH places a strong emphasis on professionalism and community trust. What’s more, it’s the result of a fairly recent merger of the northern and southern parts of the city, which had years of distinct cultures and visual identities to unify.
For the communications team, this meant more than everyone using the same logo. With faculty and staff communicating daily with parents, students, donors, government bodies, and internal teams, email plays a central role in shaping how the district is perceived. Ensuring that every message reflects one unified “Wildcat family” brand became a critical priority.
When you have over 1,000 employees, email signatures are very important to the branding of the district, the image of the district, and true professionalism.

Enforcing Brand Standards Across 1,100 Employees
Before WiseStamp, email signatures across the district were entirely self-managed by the district’s employees, using Google’s native tools or copied from one-off designs created by the communications team.
As the district evolved and grew to 1100 staff-strong, inconsistencies followed: outdated logos, old mascots, broken links, and more.
When the communications team began expanding their brand, the Communications Specialist designed a polished signature for herself. Colleagues quickly took notice, and began asking her to create one for them as well. While this improved consistency at first, it was far from scalable for over 1100 employees. Each signature took time to build, and requests began adding up quickly.
The team realized they needed a better way to create and manage email signatures at scale. They began looking for a solution that could centrally manage signatures and ensure every employee followed the same standards, without relying on the employees to manually update signatures, themselves.
That search led them to WiseStamp, and what they have gained is beyond basic email signature design. SCSDOH has now fully centralized their signature management, and the communications team has a simple, reliable way to enforce brand standards, reduce risk, and ensure every email reflects the district’s professional identity, automatically.
We have hundreds of employees, thousands of emails, and now one professional District brand that shines through with every send.

Reducing Risk and Protecting Public Trust
As a public educational institution, SCSDOH must ensure that all communications comply with board policy and present a neutral, professional image.
Prior to WiseStamp, uncontrolled email signatures created the risk of potential political statements, inappropriate quotes, expired or broken links that get their emails flagged as spam, or misleading information appearing in official communications.
WiseStamp removes that risk entirely. Centralized control ensures that only approved content, links, and branding appear in signatures, protecting the district from compliance issues while reinforcing trust with families, community partners, and government stakeholders.
The risk of 1100 employees sending emails without brand control is exponential.

A Seamless Rollout That Put Communications Back in Control
Despite the district’s size, WiseStamp was fully implemented in under a week. The platform integrated smoothly with SCSDOH’s existing email environment, and the communications team gained the ability to make updates instantly without relying on IT or chasing employees.
What was once a time-consuming, manual process is now a scalable system that saves significant time and effort. But the impact goes beyond efficiency. The standardized email signatures clearly show each staff member’s role and building, making it easier for employees to recognize and connect with colleagues across the district. In a large, multi-building organization, this added clarity strengthens internal communication, reinforces a shared identity, and helps bring the district closer together, while giving leadership confidence that every email reflects district-wide standards.
Since the implementation of WiseStamp, we no longer have to worry about anything being off-brand or violating board policy.
