Google Workspace Signatures

Google Workspace does not support centralized email signature management natively. The Google Admin console can configure a basic per-user default signature, but provides no central locking, group-based assignment, directory-driven auto-updates, or organization-wide enforcement. WiseStamp integrates with Google Workspace via the Gmail API to deliver these capabilities.

Google Workspace cannot handle multiple company signatures centrally without a third-party tool. WiseStamp connects to Google Workspace via the Gmail API. 1. Grant super admin access via OAuth 2.0.
2. Import employees from Google Directory.
3. Design and assign templates by department or OU.
4. Publish once: every Gmail account receives the correct signature automatically.

WiseStamp lets Google Workspace admins lock Gmail signatures so employees cannot alter branding, logos, or legal disclaimers. WiseStamp supports field-level permissions for Google Workspace signatures. Admins lock the template structure (design, logo, legal text) while granting employees edit access to approved fields such as direct phone numbers, pronouns, or headshots. Google Workspace cannot assign department-specific signatures natively. WiseStamp supports group-based and OU-based assignment. Each Google Workspace group or organizational unit receives its own template, and templates apply automatically when employees are added. Finance, Legal, Sales, and Marketing each carry distinct signatures without per-user configuration.

WiseStamp supports multi-brand and multi-domain signature management from a single admin account. Admins assign distinct templates to different legal entities, office locations, or domains. Each user receives the correct branded signature automatically based on their Google Workspace group or OU membership.

WiseStamp syncs with Google Directory once every 24 hours. When a job title, phone number, or department changes in Google Admin, every affected signature updates automatically. “Active Directory sync was critical. WiseStamp connects to Google Workspace using OAuth 2.0 and reads employee data directly from Google Directory. Admins map directory attributes (name, title, department, phone number) to dynamic fields in signature templates. Changes in Google Directory propagate to affected signatures automatically on the next sync cycle, without rerouting email or accessing message content.

WiseStamp lets Google Workspace admins lock disclaimer text so employees cannot remove or alter the content. Disclaimers are embedded in the signature template and applied via the Gmail API. When an employee account is deactivated in Google Workspace, WiseStamp automatically deactivates the employee’s signature.
