WiseStamp syncs daily with Microsoft Entra ID (formerly Azure AD), Google Directory, and SCIM-compatible identity providers. When an employee’s name, title, phone number, department, or office address changes in the directory, WiseStamp updates the corresponding signature fields on the next sync cycle – automatically, with no IT ticket and no action required from the employee.

The sync runs daily by default. When an employee leaves the organization and is removed from the directory, WiseStamp automatically deactivates their signature on the next sync cycle – no manual cleanup or IT intervention required.

WiseStamp’s onboarding follows a structured process that most organizations complete in a single session:

2. Directory connection – connect Microsoft 365 / Google Workspace / Exchange and sync your employee list.
3. Template design – build your signature template in the drag-and-drop Studio or use the AI Designer, with your branding applied automatically.
4. Group assignment – assign templates to employee groups by department, region, or any custom category from your directory.
5. Deployment & activation – signatures are pushed to every inbox. For client-side delivery, the Outlook Add-In or Chrome Extension can be deployed centrally via MDM, GPO, or Google Admin.

Mid-market and enterprise accounts receive a dedicated onboarding specialist and a customer success manager for ongoing support. Larger or more complex deployments – multi-brand, hybrid environments, or custom attribute mapping – may involve a structured implementation plan coordinated across IT and marketing.

Yes, within boundaries set by the admin. Admins can designate specific fields as employee-editable — phone number, profile photo, job title, LinkedIn profile, or a personal booking link – while locking all other fields centrally. Employees can keep personal details current without an IT ticket; company branding, legal text, and formatting remain under admin control. Fields that are locked display a lock icon in the employee view and cannot be overridden.

Yes. WiseStamp supports calendar and booking links – including Calendly, Google Calendar, Microsoft Bookings, and Apollo – as a clickable button or text link in the signature. For organizations using directory sync, booking links can also be populated automatically as a custom directory attribute, so each employee’s unique booking URL appears in their signature without manual entry.

Yes. Beyond standard fields like name, title, and phone number, WiseStamp can map custom directory attributes – extension numbers, department codes, regional office addresses, personal booking links, or any custom field stored in Microsoft Entra ID, Google Directory, or a SCIM provider – directly into signature fields. This eliminates manual data entry for employee-specific details and keeps signatures accurate as attributes change in the directory.

Yes. WiseStamp supports Single Sign-On via Okta, Azure SSO, and other SAML-compatible identity providers. SSO is available on the Advanced plan. Once configured, users access WiseStamp using their existing corporate credentials – no separate WiseStamp password required.

Banners can be targeted to specific employee groups or departments rather than applied org-wide, and each banner links to a URL of your choice – a campaign page, event registration, or product announcement. Scheduling includes start and end dates, so banners go live and expire automatically without manual intervention.

Yes. Admins lock specific text fields by department and region, including legal disclaimers, regulatory disclosures, compliance notices. Locked fields display a lock icon in the employee’s view and cannot be changed or removed. WiseStamp maintains a full, dated audit log of every deployed signature, supporting compliance review and legal discovery requirements.

WiseStamp supports 3 deployment modes. Client-side deploys signatures via the Outlook Add-In, Chrome Extension, or Desktop App – signatures appear in the compose window before sending and can be centrally deployed via MDM or GPO.

Server-side applies signatures at the mail server level after sending, covering every device and client without local installs.

Hybrid combines both: server-side injects only when no client-side WiseStamp signature is detected, eliminating duplicate signatures while guaranteeing universal coverage including mobile and CRM-originated emails.

Yes. WiseStamp’s server-side deployment applies signatures to all outgoing emails after sending, at the mail server level, regardless of what device or client the email was sent from – Outlook desktop, Outlook web, iOS, Android, or any other client. No software installation is required on employee devices. WiseStamp never reads or stores email content during this process.

Yes. WiseStamp’s server-side deployment covers emails originating from CRM platforms including Salesforce, HubSpot, Microsoft Dynamics 365, Pipedrive, Zoho CRM, Marketo, and Salesloft. CRM emails route through the organization’s mail server, then through WiseStamp’s host before delivery – ensuring every customer-facing email from sales and marketing carries a consistent, branded signature.
